This policy explains how Sonkify (a trading name of Sonak Media Ltd) collects, uses, and protects the personal information you share when you use this website or contact us through it. We are committed to handling your data lawfully, transparently, and only for the purposes described here.

What data we collect

We only collect the information you choose to give us through our forms. Depending on which form you use, this may include:

• Your name.
• Your email address.
• Your phone or WhatsApp number.
• Your business name, existing website, and details about the project or enquiry you are making.
• For the Pidgin Voices contributor form: your location, the dialect you speak, recording preferences, and any voice sample you choose to email us.
• Anything else you type into a free-text field.

We do not use advertising cookies or third-party tracking. The only information stored in your browser is a small preference for light or dark theme, which is not used to identify you.

How and why we use it

We use the information you provide to:

• Reply to your enquiry and discuss your project.
• Assess whether we are a good fit for the work you have described.
• Review contributor applications and voice samples for the Pidgin Voices project.
• Keep a record of enquiries and applications we receive.

Our lawful bases for processing are your consent (which you give by submitting a form and, where shown, ticking the consent boxes) and our legitimate interest in responding to enquiries about our services.

Who we share it with

We do not sell your data. To operate the website and respond to you, we use a small number of trusted service providers who process data on our behalf:

• Resend — delivers form submissions to us by email.
• Slack — where enabled, notifies our team that a new enquiry has arrived.
• Anthropic (Claude) — where enabled, helps us summarise and draft a reply to enquiries submitted through our “Start” form. Your submission is processed to produce this summary for our internal use.
• Google (Sheets) — where enabled, keeps a record of Pidgin Voices contributor applications.
• Our email provider (Titan, via Hostinger), which hosts the inboxes that receive your messages.

These providers act on our instructions and are not permitted to use your data for their own purposes. Some may process data outside the UK; where they do, appropriate safeguards apply.

How long we keep it

We keep enquiry and application data for as long as needed to respond to you and, where relevant, to manage an ongoing working relationship. If nothing comes of an enquiry, we remove it when it is no longer useful. You can ask us to delete your data at any time.

Your rights

Under UK data protection law you have the right to access a copy of your data, to have it corrected or deleted, to object to or restrict how we use it, and to withdraw consent. To exercise any of these, email privacy@sonkify.com. If you are unhappy with how we have handled your data, you can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk.

We may update this policy from time to time. The date at the top shows when it was last changed.
